Short answer: compare flat-rate and per-unit property-management software over the same period, portfolio scenarios, workflows, users, transaction volume, implementation scope, and exit assumptions. Flat pricing is easier to forecast; per-unit pricing can align cost with portfolio size. Neither is automatically cheaper, because the subscription is only one part of the operating cost.

Choose one comparison unit

Decide whether the model counts properties, units, associations, beds, leases, listings, users, or another billable record. Record vacant, inactive, seasonal, commercial, short-term, and owner-occupied records consistently. A vendor may price by unit while your internal decision is made by property, owner, or employee capacity.

Use a complete three-year formula

Total cost = recurring subscription + required add-ons + usage and transaction fees + implementation + migration + integrations + internal labor + parallel operation + support upgrades + exit cost. Model three portfolio scenarios

Calculate today's portfolio, the expected portfolio after 18 months, and a downside case where growth stalls or units leave. Flat tiers can create a sharp step at a cap. Per-unit plans can grow smoothly but may have minimums. Model seasonal changes and records that remain billable after vacancy or notice.

Separate included workflows from add-ons

Price the workflows the team will actually use: accounting, payments, screening, e-signatures, inspections, maintenance, owner and resident portals, communications, listings, reporting, API access, automations, storage, and support. Record the required plan and whether the capability is native, integrated, metered, or separately contracted.

Model transaction and communication volume

List incoming and outgoing ACH, cards, refunds, returns, chargebacks, screening reports, signatures, text messages, dedicated numbers, background services, and other usage charges. Include implementation and internal labor

Estimate data cleanup, mapping, imports, accounting review, configuration, templates, training, pilot work, parallel operation, support calls, and post-launch reconciliation. Multiply internal hours by the fully loaded cost of the people involved. Do not assume an included onboarding package eliminates the team's own preparation and approval work.

Test thresholds contracts and exit

Record billing term, renewal, annual increase rule, minimum, cancellation window, implementation refund terms, support level, data export, document delivery, read-only access, and deletion timing. A low first-year quote can be a poor three-year result if a necessary workflow moves to a higher tier or exit requires manual reconstruction. Use the data export and exit checklist.

Use a worked decision range

Suppose one product costs $40 less per month but requires five extra coordination hours. At a $30 loaded hourly cost, the operational difference is $150 monthly before errors, making the cheaper subscription more expensive in that scenario. Treat time saved as a range and verify it during a pilot; do not book a marketing estimate as guaranteed savings.

Compare current public pricing structures fairly
