Short answer: a useful rent reminder says which month it covers, what the lease says is due, when it is due, how the tenant can verify the agreed payment method, and whom to contact if the record looks wrong. It does not threaten, invent a late fee, or claim a payment is missing before someone checks the ledger and bank statement.
Use the three messages below as editable starting points. Replace every bracketed field, check the signed lease and local rules, and send only to the intended tenant. What to check before any reminder goes out
- Agreement: verify the tenant, property, rent amount, due day, currency, and any agreed payment method against the current signed lease. Do not infer a due day from the move-in date.
- Ledger: check whether the payment was already recorded, is in transit, or has a known exception. A payment made today may not yet appear in a bank feed.
- Contact: use the tenant's agreed contact channel and a subject line that identifies the rental period without exposing sensitive account details.
- Bank details: do not casually replace an established account number inside a forwarded email. If instructions have changed, tell the tenant to verify through a phone number or channel they already know, not one supplied only in the change message.
The FTC warns that rental scammers may demand hard-to-recover payments and advises renters to verify a management company using contact details from an independent source. A legitimate reminder should make that verification easier, not pressure someone to skip it. An ordinary bank transfer and a cash-like wire-transfer service are not identical, but either can be difficult to unwind after funds are sent to the wrong destination.
Template 1: A courtesy reminder before the due date

Hello [tenant name],
This is a reminder that the rent for [month] is [amount and currency], due [date] under your lease. Please use the payment method already agreed in your lease. Your payment reference is [reference, if used].
If you have already paid, thank you; no action is needed. If any amount or instruction looks different from your records, contact us through [existing contact channel] before sending funds.

Send this at an interval that suits the agreement and your communication preferences. Five days before due is a planning example, not a legal requirement or a promise that every tenant wants an early message.
Template 2: A due-today reminder

The rent for [month] is due today, [date]. Our record shows [amount and currency] due for [property/unit]. Please use the payment instructions you have already verified with us.
If you have sent the payment, please disregard this reminder while it reaches the account. Reply through [existing contact channel] if you believe the amount or date is incorrect.

Do not label a payment overdue merely because a same-day transfer has not cleared. Keep the message factual and separate the sending date from the date funds actually arrive.
Template 3: A neutral follow-up after the due date

Hello [tenant name],
We are reviewing the [month] rent for [property/unit]. Our records do not yet show a matched payment for [amount and currency], which was due [date]. If you have paid, please reply with the payment date and reference so we can check the bank record. Do not send a full bank-account screenshot or card details by email.
If you have not paid or need to discuss the account, contact us through [existing contact channel]. We will review any discrepancy before updating the balance.

This is an account-check message, not a notice to pay, eviction notice, or legal demand. Rules for late fees, notices, grace periods, and collection practices vary by location and lease. Get local advice before sending any formal notice.
Reconcile the payment instead of trusting the reminder status
A sent email proves only that a message was submitted for delivery. A tenant's reply proves only that they say they paid. For each rental period, keep a unique reference where the bank supports it, then compare the expected amount, sender, date, and reference to the actual bank entry. Investigate short payments, duplicate payments, and payments without a clear reference rather than marking them received automatically.
Record a manager's confirmation only after the bank statement or an authorized payment record supports it. Keep the original entry, correction, and reviewer visible. Questions landlords ask
Should a reminder contain the full bank account number?
Prefer a previously verified instruction channel or a scoped tenant link. If details change, verify the change out of band. Never rely on the sender address of a single email as proof that new bank instructions are legitimate.
Can I mark rent paid when the tenant sends a transfer receipt?
Use the receipt as a lead for investigation, not final confirmation. Compare it to your authorized bank record before closing the item.
Can I automate late-payment messages?
You can schedule neutral reminders, but review the lease, payment status, local requirements, and the wording of any formal notice. Escalation should not be driven by an email timer alone.
