A work order is not an appointment until the resident and provider know the same plan. Confirm the issue, an agreed access window, who will attend, how entry will work, and whom to contact if the plan changes. Follow the lease and local notice requirements; these messages are not a substitute for required notices.
1. Confirm a real appointment
Hello [name], [provider or team] is scheduled to assess [issue] at [property/unit] on [date] during [window]. Access is [agreed method]. Please tell us by [time] if this does not work. We will update you if the provider's plan changes.
2. Tell the resident about a delay
Hello [name], the [issue] visit planned for [date/window] cannot proceed because [brief factual reason]. We are arranging [next action] and will confirm a new window by [time]. If conditions have become unsafe or the problem has worsened, contact [emergency route].
3. Close only what has been verified
Hello [name], [provider] completed [specific work] on [date]. We have [verified result / scheduled a follow-up check] for [date]. Please reply through [channel] if the problem remains or the work area was left in an unacceptable condition.
Keep the handoff record usable
Separate requested, accepted by provider, appointment confirmed, work performed, and verified complete. Capture the resident's access preference, provider acceptance, actual arrival, scope changes, and follow-up. If a vendor misses the window, assign a new owner instead of silently moving the task to tomorrow.
Start with the maintenance request intake fields and use the service-level matrix to decide when a delay needs escalation. JHA's maintenance and messaging views can keep the thread with the property, but a person must verify attendance and repair quality.
