How should a property maintenance workflow operate?

Define urgency before the emergency

Write rules for safety issues, active damage, loss of essential services, routine repairs, and preventive work. Give staff escalation contacts and owner spending thresholds.

Keep the evidence together

Store initial photos, access notes, quotes, approval, vendor assignment, completion notes, invoice, and follow-up against the work order and property.

Measure repeat problems

Track response time, completion time, repeat visits, cost by property, approval delays, and unresolved urgent work. Closing a ticket does not prove the underlying problem is solved.
