Prepare one realistic property
Create fictional but realistic data: one property, two units, an owner, a tenant, a cleaner, a vendor, a lease or booking, one invoice, one repair photo, and one document. Never send real tenant data into a sales sandbox.
Workflow 1: Start the property
Add the property, unit, owner, tenant, rent or nightly rate, key dates, and a lease document. Record required fields, duplicated entry, import support, and how quickly a new employee can understand the property status.
Workflow 2: Handle a change
For long-term rentals, change rent, record a partial payment, or update a lease date. For short-term rentals, add a booking, block an owner stay, and create the cleaner turn. Check whether the change updates every dependent view.
Workflow 3: Resolve maintenance
Submit a leak with a photo, classify urgency, request owner approval, assign the vendor, communicate with the tenant, add the invoice, and close the job with completion evidence. Count every point where someone must copy information into a message.
Workflow 4: Produce the owner update
Generate a concise update showing money, open work, completed work, upcoming dates, and decisions. A 40-page report is not automatically better than a one-page operating summary. Ask whether the owner can trace each number and document.
Workflow 5: Leave the platform
Export properties, contacts, leases, transactions, work orders, messages, and documents. Ask what format is provided, how long exports take, whether attachments are included, and what happens after cancellation. Exit quality is a security and ownership feature.

Weight your most frequent workflow twice. For a cleaner-heavy short-term portfolio, maintenance and turns matter more than a rare accounting configuration. For a professional manager holding client funds, accounting and audit controls deserve the highest weight.
